The café

One outlet in 2017. Three today.

Cafe Deja Vu opened its first outlet on SB Road, Pune, in 2017. It now runs three outlets across the city — SB Road, Bavdhan and Kothrud.

It is also where XENIOS started. The founder built the first SROS prototype for this café, and Cafe Deja Vu has been in daily production on it ever since. When a feature is annoying, our staff complain first and loudest.

The problem

Four apps. None of them talked to each other.

In the founder's words, from running a single-outlet café on SB Road in 2017.

A POS, a separate inventory app, a third app for HR and a fourth for payments. None of them talked to each other.

Closing time was 45 minutes of reconciliation every night.

The cashier disagreed with the kitchen on what was actually served.

Inventory drifted because nobody updated it during a rush.

The internet died at 8 pm every Tuesday.

What changed

One system, every role, same database.

Instead of four apps, Cafe Deja Vu runs XENIOS SROS — POS for the cashier, KOT for the kitchen, inventory and payments on one database.

Local-first POS

The master database runs on the in-cafe laptop, so orders, kitchen tickets, payments and inventory keep flowing when the internet drops. The cloud is a backup that syncs once the connection returns.

Kitchen Order Tickets

Kitchen Order Tickets with station filters and 15-minute late alerts, on the same database as the POS.

Hindi voice in the kitchen

Built in because the kitchen staff don't read tickets in English at speed. Voice runs in en-IN and hi-IN, with bilingual KOT printing.

Inventory tied to the menu

A recipe Bill-of-Materials links every menu item to its ingredients. Stock auto-deducts on fulfilment and restocks on cancel.

UPI and GST at the counter

UPI deep links because customers kept asking for it. GST rate set per outlet, applied the moment an order is created.

Three outlets, one instance

Per-outlet menus, pricing, staff and reports, rolled up centrally into one dashboard.

Results

Closing time is eight minutes.
